Deposit & Appointment Policy

At Caliber PDR, we want our scheduling process to be straightforward and fair for every customer. Because we are a fully mobile service, each appointment is reserved specifically for you and includes dedicated time for travel, vehicle inspection, and your repair.
A $50 appointment deposit is required to reserve and confirm your repair date.
How Your Deposit Works
Your $50 deposit is not an additional fee and is not prepayment for work that has not been performed.
The full $50 is credited toward the final cost of your repair when your scheduled service is completed.
For example, if your final repair price is $500 and you have already paid the $50 appointment deposit, the remaining balance would be $450.
The purpose of the deposit is simply to reserve the necessary time in our schedule specifically for your repair and help limit last-minute cancellations and missed appointments that prevent us from serving other customers.
Your appointment is considered confirmed once the deposit has been received.
Your Deposit Is Protected
We understand that paying a deposit before an appointment may be unfamiliar to some customers.
If Caliber PDR is unable to keep your scheduled appointment for reasons unrelated to you, you may choose to transfer the full deposit to another appointment or receive a full refund of your $50 deposit.
The sections below explain how deposits are handled in other situations, including rescheduling, cancellations, weather, and changes discovered during the in-person inspection.
Estimates & Final Pricing
Any price or price range provided before seeing the vehicle in person is a preliminary estimate based on the photos and information provided by the customer.
Certain factors cannot always be accurately evaluated through photographs and may affect the final repair price, including:
- Actual size, depth, or severity of the damage
- Panel material
- Body lines, contours, or panel edges
- Bracing or limited access behind the damage
- Parts, trim, glass, or interior components that require removal
- Previous repairs or existing damage
- Stretched or compromised metal
- Other conditions discovered during the in-person inspection
Your exact repair price will always be confirmed after the vehicle is inspected in person and before any repair work begins.
Paying the appointment deposit reserves your scheduled time. It does not lock in or guarantee a preliminary price range.
No repair work will begin until you have been informed of and agreed to the final price.
If You Decide Not to Proceed After Inspection
If Caliber PDR arrives for your scheduled appointment, inspects the vehicle, and the final repair price falls within the price range previously provided, the appointment deposit is non-refundable if you choose not to proceed with the repair.
If the in-person inspection reveals conditions that could not reasonably have been identified from the photos or information provided, and those conditions cause the repair price to exceed the previously provided range, you may decline the repair and receive a full refund of your deposit.
If the price changes because the vehicle, damage, photos, or other information provided materially differs from what was originally submitted, the deposit may remain non-refundable.
Rescheduling
We understand that plans can change.
Your deposit may be transferred one time to a new appointment when Caliber PDR is given at least 24 hours’ notice before your scheduled appointment.
Additional rescheduling requests may require a new $50 deposit before another appointment can be reserved.
Rescheduling caused by weather, unsuitable working conditions outside of your control, or a schedule change initiated by Caliber PDR does not count toward your permitted reschedule.
Cancellations
If you need to cancel your appointment and provide at least 24 hours’ notice, your deposit may be transferred to a future appointment.
Cancellations made less than 24 hours before the scheduled appointment are non-refundable, and the deposit will be forfeited.
A new deposit will be required to reserve another appointment following a late cancellation.
Same-Day Cancellations & Missed Appointments
Your appointment deposit will be forfeited if:
- The appointment is canceled with less than 24 hours’ notice
- You are unavailable when Caliber PDR arrives
- The vehicle is not available at the agreed location and appointment time
- You do not show up or otherwise miss the scheduled appointment
- Caliber PDR cannot reasonably access the vehicle or begin the scheduled repair because of circumstances within your control
A new $50 deposit will be required before another appointment can be scheduled.
Vehicle Access & Work Area
As a mobile service, Caliber PDR requires reasonable access to the vehicle and enough surrounding space to safely perform the scheduled repair.
Please make reasonable arrangements before your appointment to ensure the vehicle is available and accessible.
If the repair cannot be performed because the vehicle or work area is inaccessible due to circumstances within your control, the appointment may be treated as a missed appointment and the deposit may be forfeited.
Weather & Unsafe Working Conditions
Mobile paintless dent repair requires a safe and suitable working environment.
Rain, severe weather, excessive wind, unsafe temperatures, inadequate shelter, or other environmental conditions may prevent us from performing a repair safely or to Caliber PDR’s quality standards.
Caliber PDR reserves the right to postpone or stop a repair when conditions are not suitable for safe, professional service.
If an appointment must be rescheduled because of weather or another condition outside of your control, your deposit will automatically transfer to the rescheduled appointment and will not count against your permitted reschedule.
Additional Damage or Repairs
Appointments are scheduled based on the vehicle and damage originally submitted for evaluation.
Additional dents, panels, vehicles, or repairs requested at the appointment are not automatically included in the reserved appointment time.
We will be happy to evaluate additional damage, but additional work may require additional pricing, additional repair time, or a separate appointment.
Any changes will be discussed with you before additional work is performed.
Third-Party Coverage & Approvals
If your repair is being paid for or requires authorization through a dent protection plan, dealership, insurance company, property management company, or another third party, you are responsible for ensuring any necessary authorization has been obtained before the scheduled appointment unless Caliber PDR has specifically agreed to handle that process.
Pending approval, reimbursement, or payment from a third party does not automatically waive the appointment deposit or cancellation requirements.
Unless other arrangements have been made in advance, the customer remains responsible for payment for services performed.
If Caliber PDR Needs to Reschedule or Cancel
Occasionally, weather, an unexpectedly complex repair earlier in the schedule, an emergency, or another unforeseen circumstance may require us to adjust an appointment.
If Caliber PDR must cancel or reschedule your appointment for reasons unrelated to you, you may choose to:
- Transfer your full $50 deposit to a new appointment, or
- Receive a full refund of your deposit
A schedule change initiated by Caliber PDR will never count against your permitted reschedule.
Agreement to This Policy
By submitting the $50 appointment deposit, you acknowledge and agree to this Deposit & Appointment Policy.
Your deposit reserves dedicated appointment time specifically for your repair and is applied in full toward your completed service.
Our goal is to keep scheduling fair and reliable for every customer while providing the flexibility to accommodate reasonable changes when circumstances arise.
